The problem
Every order from every business client came in manually — phone calls, emails, spreadsheets — processed by hand. No way for clients to log in and order themselves. No central view of orders across all accounts. No audit trail. If a client wanted an order status update, they called and waited. If Ash Workwear wanted to onboard a new business client, they rebuilt the same manual process from scratch. The system had no ceiling — it could not grow without adding people to manage it.
What was built
Admin side (Ash Workwear team)
- Central dashboard showing every order across every client in real time
- Full product catalogue management — add, edit, disable products, changes go live instantly for all clients
- Order processing through defined status workflow: pending through to delivered
- Courier and tracking details, PDF packing slip generation
- Return request handling with approve/reject decisions
- Client account management, password resets, account impersonation to see exactly what any client sees
- Reporting with date filters and CSV export
- Compliance health widget running 8 automated checks on every dashboard load
- Three overnight automated jobs: inactive account sweep, data hygiene, compliance digest email
Client side (Riverside and future accounts)
- Each client sees only their own organisation's data — nothing else
- Branded workwear catalogue grouped by category
- Three-step order wizard with size and quantity selection
- Instant order confirmation number and email
- Full order tracking through every status stage
- Courier and tracking details on dispatch
- Return request submission directly from any delivered order — no phone call needed
- Full order history downloadable as CSV
- Full eProcurement punchout integration built to cXML 1.2.014 standard, compatible with Oracle iProcurement — clients using enterprise procurement systems can browse the Ash Workwear catalogue directly inside their own procurement platform without a separate login
How it was built
- Delivered in under three weeks from kickoff to production
- Three-round security audit: 30 of 32 findings cleared before go-live
- 71 passing tests in the test suite
- Cyber Essentials-aligned security as a baseline throughout, not added at the end
- Riverside is the first onboarded client
- Portal currently being demonstrated to a second organisation as part of a formal supplier evaluation
